REGULAR MEETING OF THE JEFFERSON COUNTY PUBLIC LIBRARY BOARD OF TRUSTEES

The meeting was opened at the Madison Library at 4:05 P.M. by President Butler and Agenda was approved. No members of the public were present at the Public Hearing for the 2020 Budget.

Minutes
Wurtz moved to accept the minutes from the regular August meeting as presented. Riddle seconded. Motion carried. Riddle moved to accept the minutes from the August Executive Session as presented. Joyce seconded. Motion carried.

Friends of the Library

  • Terpening shared the dates and details of the upcoming book sale September 26-29.

Financial Report
Culp gave the financial report:

  • Operating Fund expenditures August 9 through September 12, 2019 were $104,552.99. Expenditures from all funds were $116,881.62. Operating Fund receipts were $4477.60. Receipts to all funds were $16,395.98. Balance in the Operating Fund as of September 12 was $1,013,222.01. Total bank balance was $1,538,559.49.

  • The following appropriation transfers were made within the Operating Fund:

    • $1000 from 3.121 Programming: Adult to 3.143 Programming: Anniversary.

    • $84,750 from 3.98 Transfer to Rainy Day Fund to 3.61 Buildings and Structures.

  • There were 2 checks over $6000:

    • $10,119.12 to Jefferson County Treasurer for health insurance premiums ($7940.60 paid by Library).

    • $6372.13 to Cardmember Service for Visa charges. No single purchase over $6000.

Joyce moved to accept the financial report as presented.  Riddle seconded. Motion carried.

Director’s report
Terpening reported the following:

Adult Programming

  • 25 events with 282 attendees.

  • “Fountain of Culture” book signing had 37 attendees.

  • On August 9, we hosted the Southern Indiana Programming Roundtable. Nine libraries were represented.

Circulation

  • Outreach numbers were up because Hanover Nursing Center brought several residents to the Library to apply for cards.

  • Adult books increased.

  • We had 230 Facebook “likes.”

  • Transits increased by 120%.

Youth Services

  • 9 events with 150 attendees.

  • “Tools for Schools” program with the Salvation army had 30 attendees.

Teen Programming

  • 8 events with 115 attendees.

  • Randall spoke with about 100 people at the MJHS Open House and Community Resource Fair in August. She handed out library card applications and information about library services.

Building/Grounds

  • Hanover sunroom project is finished.

  • Terpening met with Executive Elevator about upgrades and we are “grandfathered in” as far as the size. There are other needed upgrades and they will be getting quotes to us for those.

Training

  • Motsinger and Rike attended a “Leap into Science” training and received a free kit to assist them in holding science workshops. They plan to offer three Wind Workshops over the next year.

  • Motsinger, Rike, Hendricks, and Randall went to the ILF Youth Services Conference in Caramel.

  • Motsinger and Hendricks also attended the Children’s Regional Roundtable.

  • Staff member Holly Poling was nominated by Terpening for the statewide “Difference is You” award and she won. The award will be presented to her at the DIY Conference on Friday, September 13. Five support staff members will be attending. Terpening will be there for the presentation.

Programming

  • “Facing Suicide” program will be held at the library on September 12.

  • “Warm Welcome to the Library” will be held on September 21 in the Library auditorium. The Madison Elks Lodge in collaboration with the Library will be providing coats and books to children in Jefferson County. Elks Lodge members, Library personnel, and volunteers will help distribute the coats and promote library services. The Melchior Marionettes will perform puppet shows in the Children’s room at 11 A.M. and 1 P.M.

  • On October 16 the Library will host its second “Murder Mystery Dinner.” The theme for this year is 1920’s Mafia Wedding. The cost is $20 per person and includes a four course meal.

Miscellaneous

  • The FOL Book Sale will include several of the old wooden library chairs.

Correspondence

  • We received the quarterly statement from the Community Foundation. Our assets are up 13.15%.

Continuing Business

  • At the recommendation of the Policy Review Committee, Wurtz made a motion to accept the updated Internal Controls Policy as presented. Motion seconded by Rosenberg. Motion carried.

New Business

  • Adoption of the 2020 Budget will be at the Hanover Branch on October 10, 2019 at 4:00 PM.

  • Plans were discussed for honoring our Friends group as Friends of the Library week approaches October 20-26.
