Present: Terry Phillips, President; Mary Kay Butler, Secretary; Joy Culp, Treasurer; Sally Wurtz, Board Member; Kathy Rosenberg, Board Member; Robyn Ryle, Board Member; Judi Terpening, Director.
Not Present: Kelly Joyce, Kathy Crafton.
President Phillips opened the meeting at 4:06 P.M. Wurtz made a motion to approve the agenda. Butler seconded. Motion carried.
Wurtz made a motion to approve the Regular meeting minutes and Executive Session minutes from August 8, 2024. Ryle seconded. Motion carried.
July 11 and September 12, 2024 minutes were tabled until November because there was not a quorum of members present that attended those meetings.
Treasurer’s Report & Approval of Claims
September 12 through October 10, 2024
Operating Fund expenditures were $128,674.21. Expenditures from all funds were $345,519.34. Operating Fund receipts were $5,528.60. Receipts to all funds were $236,854.07. Balance in the Operating Fund as of October 10, 2024 was $1,171,797.42. Total bank balance was $1,816,245.80.
There were 2 checks over $6,000:
$11,170.46 to Jefferson County Treasurer for health insurance premiums.
$100,000.00 to TrustIndiana for the purchase of an investment.
Wurtz made a motion to approve payment of claims for $345,519.34. Butler seconded. Motion carried.
Director Terpening’s report
August Adult Programming
18 events with 166 attendees.
Online Drawing & Painting Class had 12 attendees in 4 classes.
Introduction to Watercolor Class had 36 attendees in 4 classes.
La Leche League had 18 attendees.
Second Saturday Stitchers had 4 attendees.
History of Coins had 6 attendees.
The Water Cycle had 4 attendees.
Early U.S. Coins to Present Day had 4 attendees.
Illuminate Your Creativity: Glass Dish Lamps had 31 attendees in 2 classes.
America 250! Genealogy Workshop had 36 attendees.
Hanover Book Group read "Class: A Memoir" by Stephanie Land. There were 11 attendees.
Hope Community had 4 attendees for Glass Dish Lamps.
Meetings
20 Meetings with 133 attendees.
Outreach
22 deliveries and circulated 110 items.
Children’s & Young Adult: 19 Total Programs with 425 attendees
Children’s In-House Programs
Mother Goose on the Loose had 47 attendees in 4 sessions.
Story Time at Hanover had 32 attendees in 3 sessions.
Children (all ages)
SPARK for German had 25 attendees in 2 classes.
Young Adult
Fall Wreath Craft at Madison had 27 attendees.
Children’s Outreach Programs
Farmer's Market Sunflower Craft had 19 attendees who did the craft, 78 who stopped by the table.
Youth Tailgate for Healthy Lifestyles had 126 attendees (gave out 59 fruit rollups).
Hispanic Culture Festival had 52 attendees, 27 made castanet craft.
Pope John Pre-K visits: 70 children in 5 classes.
Story Line had 27 calls.
Social Media/Circulation Statistics
Website had 2,964 visits, up 8%.
Local History website had 1,425 visits, up 6%.
Monthly newsletter went out to 4,671 recipients.
Total Facebook followers 3,774. Top post by engagement was Children's Summer Reading Winner. Top post by reach was the Summer Reading Winner.
Total Instagram followers 797. Top post by engagement and reach was Hispanic Heritage Month.
There were 70 YouTube views.
Niche Academy had 15 views. Top tutorial by views was Libby.
Circulations in September were 14,699, up compared to September 2023.
There were 96 new library card registrations.
Visits to the Library in September were 7,093.
Computer usage was 714. Wireless usage was 2,481.
Staff and Volunteers
Julie Rubio is volunteering in Local History for some special projects.
Library is taking applications for a part-time Library Assistant.
Staff had a surprise birthday celebration for 3 staff members turning 60 in September.
Terpening attended the Public Access Counselor training and Evergreen Indiana Roundtable. There will be a staff meeting on October 24.
Ongoing and Upcoming Events
Murder Mystery Dinner will be held on October 30 in the Library Auditorium. The theme is 50s and 60s Prom. Tickets are $25 per person, which will help cover the cost of the dinner.
Silver Ceramics, a program for seniors, will be partnering with Cara at Little Golden Fox. A grant from the Indiana Arts Commission will fund most of the program, which is slated for November, but could be in January, depending on schedules.
Community
Bowman attended the Partnership for Affordable Housing vendor fair on September 27.
Healthy Tailgate Party, Hispanic Culture Festival and Farmer's Market, were all handled by the Children's Department.
Westmoreland visited Pope John for Pre-K classroom visits.
Friends of the Library
The Annual Fall Book Sale made $2,365.33 and there were 33 volunteers.
Buildings
Had a technician from Dunlap, who currently services Madison HVAC, check out a problem with HVAC at the Hanover Branch. He gave quotes for repairing or replacing units. Due to the age of the system, the Board approved hiring Dunlap to replace all 4 units for the quoted price of $18,200. Terpening will obtain a quote from one more company for comparison.
Dunlap did boiler repair on the Madison HVAC.
Terpening met with the architect and another person from KrM to tour the building again. They would like to give a presentation to the Board at the November meeting.
Strategic Plan
Library received the grant for $14,400 from the Community Foundation to be used for the Strategic Plan. Terpening will meet with MCLS to begin plans for a community survey.

New Business
Butler made a motion to approve the Resolution to Establish an Indiana Arts Commission Grant Fund. Ryle seconded. Motion carried.
Staff raises for 2025 were discussed. Discussion will continue at the November meeting.
Public hearing for the Internet Acceptable Use Policy will be at the November meeting.
