REGULAR MEETING OF THE JEFFERSON COUNTY PUBLIC LIBRARY BOARD OF TRUSTEES

The regular meeting was opened at 4:02 P.M. by President Rosenberg. Phillips made a motion to approve the agenda. Butler seconded. Motion carried.

Minutes
Phillips made a motion to approve the minutes from the October meeting. Crafton seconded. Motion carried.

Financial Report
Culp gave the financial report:

  • Operating Fund expenditures October 15 through November 11, 2021 were $103,045.33. Expenditures from all funds were $119,700.83. Operating Fund receipts were $1,445.43. Receipts to all funds were $15,212.04. Balance in the Operating Fund as of November 11 was $1,210,586.29. Total bank balance was $1,693,195.36.

  • There was 1 check over $6,000:

    • $10,849.91 to Jefferson County Treasurer for health insurance premiums.

  • The following transfers were made within the Operating Fund:

    • $30,000 from 1.12 Full-time to 1.13 Part-time

    • $2,000.00 from 3.61 Buildings and Structures to 3.14 Other Professional Services.

    • $1,000.00 from 3.61 Buildings and Structures to 3.148 Public Databases.

Director Terpening’s report

Adult Programming

  • 13 events with 115 attendees.

  • An Evening with Author Sandy Black had 12 attendees.

  • There were 4 online Drawing and Painting classes with 17 participants and 3 in-person classes with 13 participants.

  • Yoga class and Strive for Five each had 6 attendees.

  • Hanover Book Group had 8 attendees. 

  • The Library hosted 4 meetings with 27 attendees. 

Children’s Services and Teens Programming

  • 20 programs with 519 attendees.

  • Story times and Mother Goose continued to be outside at John Paul Park.

  • Take-and-Make crafts were available every 2 weeks.

  • 57 visited the Library table at Farmer's Market.

  • The Pumpkin Contest had 24 entries and 234 online voters for the People's Choice award.

  • Reading to Dogs had 15 attendees.

  • Pet Parade had 9 dogs and 1 cat.

Circulation

  • Audiobook circulation increased in both Adult and Children's. Spanish collection also increased

    after some new titles were added.

  • Facebook and Instagram were up and the top social media post was the Pet Parade.

Staff and Volunteers

  • Camille Fife received the first ever Lifetime Achievement Award from the Indiana Department of Historic Preservation and Archeology.

  • Culp, Poling and Terpening attended the AVC Payroll and Accounting User Group meeting in Greenwood.

  • One intern from Ivy Tech and one from Hanover College were hired to help with the digitization project funded by an LSTA grant. They are working with Erica Cline at the Courthouse on scanning. They are also receiving training from the Indiana Memory staff at the State Library, Jen Duplaga from Hanover College, as well as online.

Training

  • Staff has been training on the new Evergreen upgrade version 3.7.

  • Social Media Coordinator, Hendricks attended a virtual conference on library marketing.

  • Culp, Poling and Terpening attended the Annual Report and Bookkeeping Workshop online.

Building and Grounds

  • Shutters will be going back up on the front of the building next week. There were only 6 sets able to be repaired.

  • The van has been returned from Fiction Wraps with new graphics.

Services

  • • Hoopla Flex has been increasing in popularity and patrons are placing a lot of holds.

Technology

  • The internet was down November 4th and 5th. The Library closed at 3:00 pm on the 5th but was open again the following day when service was restored.

Miscellaneous

  • All 2022 budget forms have been uploaded into Gateway.

  • The bio for Kelly Joyce was in the November newsletter.

  • The Water/Ways grand opening will be at 11 am. on January 8th. Board participation and / or volunteers would be welcomed. The exhibit runs from January 8th through February 20th.

Friends of the Library - No report.

Correspondence

  • Library Board members received notification of the TIF meeting.

Continuing Business

  • Discussion continued about staff raises and the Salary Scale. Butler made a motion to give staff a 3% raise across the board beginning in 2022. Crafton seconded. Motion carried.

  • Butler made a motion to approve the 2022 Salary Scale as amended. Joyce seconded. Motion carried.

New Business

  • Joyce made a motion to approve the Internet and Computer Use Policy with no changes. Butler seconded. Motion carried.

  • Crafton made a motion to approve the Patron Behavior Policy as presented. Butler seconded. Motion carried.

  • Joyce was appointed Secretary Pro tem by Rosenberg for this meeting.
