May 9, 2024 Regular Meeting
Present: Joy Culp, Treasurer; Kathy Crafton, Board Member; Sally Wurtz, Board Member; Mary Kay Butler, Board Member; Kathy Rosenberg, Board Member; Judi Terpening, Director; Jess McAlister, Assistant Director.
Not Present: Robyn Ryle, Terry Phillips, Kelly Joyce.
Crafton was appointed President Pro Tem and Butler was appointed Secretary Pro Tem. Crafton opened the meeting at 4:07 P.M.
Butler made a motion to approve the agenda. Wurtz seconded. Motion carried.
Wurtz made a motion to approve the minutes from the April 11, 2024 regular meeting. Rosenberg seconded. Motion carried.
Treasurer’s Report & Approval of Claims
April 12 through May 9, 2024
Operating Fund expenditures were $141,243.08. Expenditures from all funds were $158,334.89. Operating Fund receipts were $7,867.66. Receipts to all funds were $24,108.06. Balance in the Operating Fund as of May 9, 2024 was $940,509.36. Total bank balance was $1,552,891.74.
There were 3 checks over $6,000:
$11,072.43 to Jefferson County Treasurer for health insurance premiums.
$10,282.00 to Indiana State Library for annual Info Express fees.
$16,347.00 to Indiana Farmers Insurance for annual premiums.
Wurtz made a motion to approve the payment of claims in the amount of $158,334.89. Butler seconded. Motion carried.
Director Terpening’s report
April Adult Programming
22 events with 221 attendees.
Online Drawing & Painting Class had 8 attendees in 4 classes.
Comics & Graphic Storytelling Class had 20 attendees in 5 classes.
Beginning Salsa Dancing had 60 attendees in 4 classes.
Mosaic Garden Pots craft had 28 attendees in 2 classes.
La Leche League had 18 attendees.
Second Saturday Stitchers had 9 attendees.
Hanover Book Group read Yellowface by R.F. Kuang and had 15 attendees.
Red Cross Blood Drive had 36 attendees.
Hope Community had 4 attendees for Mosaic Garden Pots craft.
Hickory Creek had 5 attendees for Suncatchers craft.
Meetings
23 Meetings with 89 attendees.
Outreach
24 deliveries and circulated 146 items.
Children’s & Young Adult
17 programs with 294 attendees.
Mother Goose on the Loose had 90 attendees in 5 sessions.
Story Time at Hanover had 60 attendees in 4 sessions.
Eclipse Crafts had 30 attendees in 2 sessions.
Rubik's Cube Club had 4 attendees.
Lego Club had 24 attendees.
Home School Library Visit had 28 attendees.
Felted Soap craft had 14 attendees.
Spring Wreaths craft had 24 attendees. (YA program)
Story Line had 20 calls.
Social Media/Circulation Statistics
Website had a slight decrease with 2,777 visits.
Local History website had 1,384 visits, down about 2%.
Monthly newsletter went out to 4,447 recipients.
Facebook followers increased to 3,678, up 2.2%. Top post by engagement was the Plant Exchange. Top post by reach was Recycle Eclipse Glasses.
Instagram followers were 764, up 1.2%.
Circulations in April were up by 1,137 compared to 2023.
Visits to the Library in April were up by 946 compared to 2023.
Staff and Volunteers
Terpening attended the Director's Roundtable on April 26 at Batesville Public Library.
Had a Bon Voyage breakfast for Local History Assistant Alicia Zavala, whose last day was April 22.
Terpening attended the Community Foundation Grant Workshop on April 24.
Ongoing and Upcoming Events
Plant Exchange - May 11.
Homeschool Book Bash - May 14.
Summer Reading kicks off on June 3 with the Touch-A-Truck event at the Broadway Fountain.
Juneteenth Documentary on June 24.
Community
McAlister and Hughes were honored at Hope Community, where they do a monthly craft program. They also received a thank you note from Madison Main Street for doing bracelets at the Girl's Weekend event.
Friends of the Library
Staff member Megan Randall was elected President of FOL.
Children's Book Sale receipts were $706.00.
May Book Sale will be May 17 from 10a-5p, May 18 from 10a-4p, May 19 from 12p-5p. Volunteers are needed.
Buildings
Library is closed May 27 for Memorial Day.
Technology
AVC is implementing a new IT portal in May.
FCC Category 2 grant was awarded.
Continuing Business
Butler made a motion to approve the Personnel Policy as amended with the American Library Association Code of Ethics added. Wurtz seconded. Motion carried.
New Business
Terpening met with Brad Samples, agent with Encore Insurance. Due to a significant price increase with Selective Insurance, Brad looked into other companies and found that Indiana Farmer's would save the Library over $6,000 a year with the same or better coverage. Terpening agreed to the change, effective May 1.
Wurtz made a motion to accept July 2024-June 2025 nominations for new Board Officers as follows: Terry Phillips, President; Kelly Joyce, Vice-President; Mary Kay Butler, Secretary; Joy Culp, Treasurer. Rosenberg seconded. Motion carried.
Motion to adjourn by Butler at 4:29 P.M. Crafton seconded. Meeting adjourned.
