REGULAR MEETING OF THE JEFFERSON COUNTY PUBLIC LIBRARY BOARD OF TRUSTEES

May 12, 2022

Present: Kathy Crafton, Vice-President; Robyn Ryle, Secretary; Joy Culp, Treasurer; Terry Phillips, Kelly Joyce, Sally Wurtz, Mary Kay Butler, Board members; Judi Terpening, Director.

Not present: Kathy Rosenberg, President; Jess McAlister, Assistant Director.

The meeting was opened at 4:02 P.M. by Vice-President Crafton. Wurtz made a motion to approve the agenda. Butler seconded. Motion carried.

Phillips made a motion to approve the minutes from the April 14, 2022 regular meeting. Wurtz seconded. Motion carried.

Financial Report
Culp gave the financial report:

  • Operating Fund expenditures April 15 through May 12, 2022 were $110,289.58. Expenditures from all funds were $125,972.38. Operating Fund receipts were $1,320.52. Receipts to all funds were $16,354.42. Balance in the Operating Fund as of May 12, 2022, was $1,099,046.75. Total bank balance was $1,599,645.46.

  • There were 2 checks over $6,000:

    • $9,903.72 to Jefferson County Treasurer for health insurance premiums.

    • $6,703.90 to Midwest Tape for Nonprint materials and eBooks.

Phillips made a motion to approve payment of claims in the amount of $125,972.38. Ryle seconded. Motion carried.

Director Terpening’s report

Adult Programming

  • 17 events with 162 attendees.

  • Water/Ways Film Tour had 25 attendees.

  • There were 4 Online Drawing & Painting classes with 21 attendees.

  • 4 Landscape Painting & Portrait Drawing classes with 19 attendees.

  • Hanover Book Group had 5 attendees.

  • Red Cross Blood Drive had 38 attendees.

  • 20 Candle Craft Kits were picked up at Madison and 20 at Hanover.

  • Custom Bangle Craft Event at Hope Community had 9 attendees.

  • Spring Wreath Craft Event at Jewel Place had 6 attendees.

  • Felt Succulents program at Madison and Hanover had 16 attendees.

  • There were 13 meetings with 102 attendees.

Children’s Services and Teens Programming

  • 13 programs with 377 attendees.

  • Mother Goose on the Loose met 4 times with a total of 91 attendees.

  • All Ages Story Time at Hanover met 4 times with a total of 63 attendees.

  • Reading to Dogs had 21 attendees.

  • Lego Club had 14 attendees.

  • 28 Story Line calls.

  • Motsinger is interviewing for 2 summer intern positions, 1 from high school and 1 from college.

Circulation

  • All circulations were up in all formats.

  • People counts were up.

  • Social media was up and website hits almost doubled since April 2021.

  • Tiny Art Show was the biggest hit on Facebook with 6500 people reached.

Staff and Volunteers

  • Poling has replaced Culp as a Notary Public at Madison. McAlister is also a Notary at Madison and Lathrem at Hanover.

Community Involvement

  • Outreach Coordinator Hughes set up at the Farmer's Market and interacted with about 58

    people.

  • Terpening was asked to present at a Clearinghouse meeting in June.

Building and Grounds

  • 2 toilets will be replaced in staff areas of the Madison building.

  • The Library will be closed for Memorial Day on May 30.

Ongoing and Upcoming Events

  • "Food Security Strategies" will be presented by Cherie Rike on May 12 at Madison.

  • "Plant Exchange" will be held in the Madison auditorium at 11:30 a.m. on May 14.

  • The Local History Department will present "Scanning Memories" at 3:30 p.m. on May 17 as part of the LSTA Grant. They will be showcasing the new scanner and helping people scan their documents to a flash drive.

  • Summer Reading begins June 1 and kickoff will be on June 8 with the "Touch a Truck" event.

  • There will be a "Self Defense Workshop" at 5:30 p.m. on June 8.

  • "Tiny Art Show" had 100 registrants with 37 on a waiting list. The kits are to be picked up and submitted by May 28. Kits include a 3" x 3" canvas, paints, a paintbrush and instructions. The finished entries will be on display at Madison and Hanover. Prizes will be awarded in Adult, Teen and Children categories.

Technology

  • Beanstack, a new online program tracking system, will launch on June 1 for summer reading. It can also be used for winter reading or in-house staff training.

Friends of the Library

  • FOL had the annual meeting in April and the following new officers were elected: Dave Cassel, President; Richard Cook, Vice-President; Megan Randall, Secretary; Cheryll Judge, Treasurer.

  • Pop-up book sales were held every Saturday in April. The Spring Sale will be May 20-22.

Correspondence

  • The juvenile who broke the window at Hanover wrote a letter of apology as part of the probation.

  • Received a TIF Area Creation Tax Impact Statement from City of Madison Redevelopment Commission and Economic Development Area Parcel List & Map for Super ATV.

Continuing Business

  • Portions of the revised Personnel Policy were reviewed. Revisions to the Leave Allowance are still being discussed with the Personnel Committee and staff members.

New Business

  • Wurtz nominated the following Board officers to serve July 1, 2022 through June 30, 2023: Kathy Crafton, President; Robyn Ryle, Vice-President; Terry Phillips, Secretary; Joy Culp, Treasurer. Joyce seconded. Motion carried.

Motion to adjourn by Butler at 5:10 P.M. Ryle seconded. Meeting adjourned.
