REGULAR MEETING OF THE JEFFERSON COUNTY PUBLIC LIBRARY BOARD OF TRUSTEES

The meeting was opened at 4:00 P.M. by President Wurtz. All members attended in person. Joyce made a motion to approve the agenda. Phillips seconded. Motion carried.

Minutes
Phillips made a motion to approve the minutes from the May regular meeting as presented. Seconded by Ryle. Motion carried.

Financial Report
Culp gave the financial report:

  • Operating Fund expenditures May 14 through June 10, 2021 were $92,806.21. Expenditures from all funds were $188,498.03. Operating Fund receipts were $9,844.26. Receipts to all funds were $102,291.17. Balance in the Operating Fund as of June 10 was $943,827.47. Total bank balance was $1,442,465.36.

  • A 60-month CD was purchased from Friendship State Bank at .75% interest. Dividends will be paid by check annually. Our Centra Credit Union savings account was closed and the balance of $4,162.66 was deposited into our First Financial Bank checking account.

  • There were 2 checks over $6,000:

    • $9,599.47 to Jefferson County Treasurer for health insurance premiums.

    • $75,000.00 to Friendship State Bank for purchase of a 60-month CD.

Phillips moved to accept the financial report as presented. Crafton seconded. Motion carried.

Director Terpening’s report

Adult Programming

  • 6 events with 359 attendees.

  • Hanover Book Group had 12 attendees. All wore masks and were socially distanced.

  • Online Drawing and Painting Class had 304 attendees in 4 classes. Focus was on portraiture.

  • We hosted 4 meetings with 55 attendees.

Youth Services and Teen Programming

  • 98 programs with 2,039 attendees, including in house and outreach. Motsinger visited 6 local schools and spoke to each class about the Summer Reading Program.

  • Due to rain, there was only one Mother Goose on the Loose program at John Paul Park with 28 participants.

  • 190 Grab & Go craft kits were made for children, teens and adults.

  • 20 STEM Saturday to Go participants.

  • Story Line had 64 callers.

Circulation

  • No significant changes over April.

  • Social media platforms saw a slight increase in Facebook followers and website usage.

Staff and Volunteers

  • Hanover Branch Manager, Lathrem was elected to the eContent Committee for Evergreen.

  • Scout Troop 717 has been helping move books in the basement in preparation for painting.

  • Terpening's term ended as chair/member of the Evergreen Executive Committee.

  • Terpening has accepted a volunteer position as a coach for the Indiana Leadership Academy. She will be working with three participants who are librarians in the State.

  • Terpening and McAlister attended a Neighborhood Watch meeting.

Building

  • Painting continues inside and outside the Madison building.

  • Hanover exterior building work is complete.

  • The framed prints that hung in the basement for many years have been removed while the walls are painted. Terpening asked the Board to consider giving them to the Friends to sell. She suggested using that space for local artists or a rotating collection.

Programming

  • Summer reading is June 1 through July 31. We are giving a Library T-shirt to all ages who register and we ran out the first day. More have been ordered. This year we are having more in-person programs for youth and adults, but some will still be online.

Grants

  • Fife wrote and received an LSTA grant for our digitization project. We will receive $12,862 for equipment and possibly a part-time person to help do the work. The family files will probably be done first.

Covid-19

  • June 1 we made masks optional for staff and patrons. We have also reduced teleworking for staff.

Friends of the Library

  • They made over $400 at the last sidewalk sale. One more sale is planned for May, two in June and the big sale is still planned for July 23-25.

  • A moratorium will continue on book donations until after the July sale.

Correspondence

  • We received a thank you note from the Women's Giving Circle for us allowing them to hang their banner on the fence in front of the library.

  • We received a notice from the Madison Redevelopment Commission regarding TIF allocations for budget year 2022.

Continuing Business

  • Phillips made a motion to approve the Slate of Officers for July 1, 2021-June 30, 2022 as follows: Kathy Rosenberg, President; Kathy Crafton, Vice-President; Robyn Ryle, Secretary; Joy Culp, Treasurer. Seconded by Crafton. Motion carried.

New Business

  • Ryle made a motion to approve the updated Collection Development Policy as presented. Joyce seconded. Motion carried.

  • Board By-Laws were updated to include verbiage about electronic meetings. Joyce made a motion to approve the Board By-Laws as amended. Ryle seconded. Motion carried.
