July 13, 2023 Regular Meeting
Present: Robyn Ryle, President; Kelly Joyce, Secretary; Joy Culp, Treasurer; Kathy Rosenberg, Board Member; Sally Wurtz, Board Member; Kathy Crafton, Board Member; Judi Terpening, Director; Jess McAlister, Assistant Director.
Not Present: Terry Phillips, Mary Kay Butler.
President Ryle opened the regular meeting at 4:00 P.M. Wurtz made a motion to approve the agenda. Joyce seconded. Motion carried.
Crafton made a motion to approve the minutes from the June 8 regular meeting. Wurtz seconded. Motion carried. Culp made the following correction to the Treasurer's report in the May 11 minutes: Receipts to all funds was incorrectly written in the minutes as $321,814.18 and it should have been $21,814.18.
Wurtz made a motion to approve a 6% raise for Terpening, effective on her next paycheck. Rosenberg seconded. Motion carried.
Treasurer’s Report & Approval of Claims
June 9 – July 13, 2023
Operating Fund expenditures were $138,823.33. Expenditures from all funds were $155,745.86. Operating Fund receipts were $891,002.76. Receipts to all funds were $907,311.41. Spring tax check for $885,974.67 and was deposited on June 13. Balance in the Operating Fund as of July 13, 2023 was $1,728,319.20. Total bank balance was $2,233,244.37. There were 2 checks over $6,000:
$11,878.52 to Jefferson County Treasurer for health insurance premiums.
$14,137.68 to OCLC for annual cataloging & metadata subscription.
Rosenberg made a motion to approve payment of claims for June 8 through July 13, 2023 in the amount of $155,745.86. Crafton seconded. Motion carried.
Director Terpening’s report
Adult Programming
Due to unforeseen circumstances, June Adult Programming information will be reported in August.
Children’s Programs
Mother Goose on the Loose had 82 attendees in 3 sessions.
Story Time had 15 attendees at Madison and 18 at Hanover.
Silly Safari had 205 attendees.
Juggling Show had 104 attendees.
DNR Birds and Snakes of Hardy Lake had 82 attendees.
Reading to Dogs had 72 attendees (57 guests, 8 handlers, 7 dogs).
Reading Buddies had 31 participants at Hanover.
La Casa Amiga Tour with a scavenger hunt, bilingual story and snack had 44 attendees.
Fluffy Slime craft had 17 attendees.
Story Line had 50 calls.
Farmer's Market had 67 visitors and "Berry Baskets" craft had 25 participants.
Teen Programs
Decorate a Library Bag had 37 attendees.
Plant Propagation had 16 attendees.
Floam Slime had 9 attendees.
Candy Craze Chocolate had 26 attendees.
Movie: Men in Black had 8 attendees.
Macramé Wall Art had 14 attendees.
Glass Cup Craft had 23 attendees.
Circulation
The Library Twitter account was deactivated.
17,822 circulations of all materials, more than June 2022 and June 2021.
Visitors were 2,000 more than June of 2022.
Made 166 new library cards.
Instagram had 696 followers.
YouTube had 250 views and 74 subscribers.
4,010 Newsletter subscribers.
Facebook had over 82,000 impressions and there are 3,181 followers.
There are 3,977 subscribers to the e-Newsletter.
Website had 3,357 visitors, an increase of 23%.
Local History website views increased by 12%.
Staff and Volunteers
Terpening went to the annual ALA Conference in Chicago.
McAlister served on the Ivy Tech Panel.
Ongoing and Upcoming Events
Adults and Teens - Crafts & Stitching, David Kummer author talk, Self-Defense Workshop, Book Group. Children's Finisher's Party, Sand Art.
Community
McAlister explained the "Story Walk", a collaboration with Clifty Falls State Park. Some Library staff members went to the park to clear the trail of debris and clean up in preparation for the walk.
There was a Juneteenth Ruby Bridges book discussion.
New Library T-shirts are being offered to patrons free.
Technology
All staff members have now completed the Cyber Security Training through AVC.
Friends of the Library
Sidewalk sales will be held July 22 and August 26.
Fall Book Sale will be September 29 through October 1.
Buildings
The garage door was malfunctioning and has now been repaired.
The iron railing in front of the building was bent and wrapped around the pole during Regatta weekend. Madison Iron Works came and repaired it.
Sandusky plastered and repainted the hallway behind the restrooms.
Correspondence
Received a complaint from a couple visiting the Library about the June Pride display. They did not want to leave their names.
There was a sign expressing negative opinions about the Library on the flower bed in front of the building and the same sign was seen at the river.
Terpening shared an email from a patron complaining about a Pride Month reference in the Library's Summer Reading software. She shared her response with the Board.
Received a letter from the State Library that JCPL is in compliance with state standards.
Continuing Business - None
New Business
Ryle appointed new Board Committee members for 2023-2024 as follows: Personnel Committee; Crafton, Butler, Wurtz. Finance Committee; Phillips, Culp, Rosenberg. Policy Review Committee; Ryle, Joyce, Phillips.
Joyce made a motion to approve the 2024 Salary Scale as presented. Crafton seconded. Motion carried.
Wurtz made a motion to approve the Resolution to Join the Indiana State Library Consortium for Public Library Internet Access. Rosenberg seconded. 4 ayes, 1 nay. Motion carried.
2024 Budget Estimate information was not yet available. Budget meeting with DLGF Field Rep will be on July 19.
Bank signature card was not ready at the bank yet. Tabled until the August meeting.
Motion to adjourn by Wurtz at 4:52 P.M. Ryle seconded. Meeting adjourned.
