The meeting was opened at 4:07 P.M. by President Wurtz and the agenda was approved on a motion by Rosenberg and a second by Butler.
Minutes
Rosenberg made a motion to approve the minutes from the regular July meeting as presented. Seconded by Crafton. Motion carried.
Financial Report
Culp gave the financial report:
Operating Fund expenditures June 12 through July 9, 2020 were 114,434.65. Expenditures from all funds were $126,402.18. Operating Fund receipts were $664,514.97 Spring tax disbursement was $664,111.33. Receipts to all funds were $676,807.96. Balance in the Operating Fund as of July 9 was $1,258,291.79. Total bank balance was $1,806,398.57.
There were 2 checks over $6,000:
$9,674.49 to Jefferson County Treasurer for health insurance premiums (Library share was $7,708.65).
$20,772.44 to AVC Technology for 12 new computers ($15,178.56), firewall upgrade ($3,551.88), July IT management ($1,526), July-September Accounting and Payroll support with Cloud backup ($516).
The following appropriation transfer was made within the Operating Fund:
$1,600 from 4.4 Furniture and Equipment to 4.84 Computer Software Administration.
Butler moved to accept the financial report as presented. Crafton seconded. Motion carried.
Director Terpening’s report
Adult Programming
7 events with 267 attendees.
Drawing and Painting class continued online and had 124 participants.
We hosted 2 Red Cross blood drives with 105 attendees and 86 units collected.
Summer Reading program began June 15 and currently has 33 participants with 91 books read.
Teen Programming
2 book reviews were submitted by teen volunteers and will be posted in Wowbrary.
Summer Reading has 10 participants with 80 hours of reading and 16 entries for prize drawings.
Youth Services
26 events with 596 attendees. 10 programs were virtual story times and entertainment. 8 programs were “Grab & Go Crafts.” 8 programs were outreach packets and craft kits to Boys and Girls Club and OVO Headstart.
Children’s Department currently has 51 Summer Reading participants.
Circulation
The library has been very busy since reopening on June 8. The people count was over 3000 for June.
Staff
Outreach Coordinator, Katherine Wilkin has resigned and we will be looking for a replacement for that position.
We will also be looking for another Children’s Assistant. Jillian Hendricks has been re-assigned a new position with the library as Social Media Coordinator. She is currently working on re-vamping the library website and taking care of all social media for the library. Jillian is working on her Master’s degree in graphic design.
Community Involvement
The library participated in the Jefferson County Healthy Initiatives Scavenger Hunt.
New Hours
We started new hours July 6. Madison will be open Monday through Thursday 10a-7p; Friday 10a-5p; Saturday 10a-3p. Hanover will be open Monday through Friday 10a-5p.
Training
Staff continues to do various online trainings as well as cleaning protocols.
Covid-19
Based on findings from the most recent studies regarding the viability of the coronavirus on paper and surfaces, we are now required to quarantine our materials for only 24 hours.
Friends of the Library
The Friends will be having 3 Saturday pop-up sales instead of the Fall Book Sale. The sales are genre specific and will be held on July 18, August 8, and August 22. Hours will be 9am-2pm. Volunteers are needed and should contact Cheryll Judge or Dave Cassell if interested.
Correspondence
We received a thank you note from someone who is doing a writing project and needed our help locating some materials about Madison history.
We received a thank you note from a child who really enjoyed the Build-a-Dragon craft.
Continuing Business
The Criminal Background Policy was revisited from June and revisions were made. A motion was made by Butler to approve the policy as amended. Seconded by Rosenberg. Motion carried.
New Business
Wurtz appointed new Board committees for 2020-20221 as follows: Personnel Committee; Butler, Joyce, New Board member yet to be confirmed. Finance Committee; Rosenberg, Culp, Crafton, Wurtz. Policy Review Committee; Wurtz, Phillips, Rosenberg.
New Board officers signed the signature card for First Financial Bank.
Based on the recommendation of the Personnel Committee, a motion was made by Butler to approve a salary increase of 5% for Terpening, retroactive to July 6, 2010 and a one-time bonus for $1000. Seconded by Crafton. Motion carried.
A motion was made by Butler to approve the new Salary Scale for 2021 as presented. Seconded by Rosenberg. Motion carried.
The 2021 Budget Estimate was introduced. Terpening will meet virtually with the DLGF on July 30 to complete the forms in Gateway.
