JANUARY 12, 2023 REGULAR MEETING
Present: Kathy Crafton, President; Terry Phillips, Secretary; Joy Culp, Treasurer; Sally Wurtz, Kelly Joyce, Mary Kay Butler, Kathy Rosenberg, Judi Terpening, Director; Jess McAlister, Assistant Director.
Not Present: Robyn Ryle
President Crafton opened the regular meeting at 4:00 P.M. Wurtz made a motion to approve the agenda. Joyce seconded. Motion carried.
Joyce made a motion to approve the minutes from the December 8, 2022 regular meeting. Wurtz seconded. Motion carried.
Treasurer’s Report & Approval of Claims
December 9 – December, 2022
Operating Fund expenditures were $58,273.61. Expenditures from all funds were $68,116.25. Operating Fund receipts were $628,747.44. Receipts to all funds were $636,531.02. December tax draw was $623,501.11. Balance in the Operating Fund as of December 31, 2022, was $1,688,108.95. Total bank balance was $2,181,536.88.
There was 1 check over $6,000:
$11,028.42 to Jefferson County Treasurer for health insurance premiums.
The following transfers were made within the Operating Fund:
$570.00 from 3.14 Other Professional Services to 3.141 Programming: Adults
$310.00 from 3.14 Other Professional Services to 3.142 Programming: Children's.
$3,200.00 from 3.61 Buildings & Structures to 3.52 Electricity.
January 1 - January 12, 2023
Operating Fund expenditures were $66,901.78. Expenditures from all funds were $72,503.08. Operating Fund receipts were $725.36. Receipts to all funds were $8,435.65. Balance in the Operating Fund as of January 12, 2023 was $1,621,932.53. Total bank balance was $2,117,469.45.
There was 1 check over $6,000:
$7,458.00 to Indiana State Library Foundation for Evergreen annual membership fee.
Phillips made a motion to approve payment of claims for December 9 - December 31, 2022 in the amount of $68,116.25. Butler seconded. Motion carried.
Phillips made a motion to approve payment of claims for January 1-January 12, 2023 in the amount of $72,503.08. Joyce seconded. Motion carried.
Director Terpening’s report
Adult Programming
12 events with 110 attendees.
3 Landscape Painting & Portrait Drawing classes with 13 attendees.
5 Online Drawing & Painting classes with 17 attendees.
Infant Holiday Home Safety had 3 attendees.
Discovering the Story of Your Building had 26 attendees.
5 attendees for the Holiday Village craft at Hope Community.
Red Cross Blood Drive had 46 attendees.
14 Meetings with 67 attendees.
Outreach made 18 deliveries, circulating 105 items.
Tiny Art Show "Holiday Edition" paintings were displayed throughout the month of December and winners were chosen.
Children’s Services and Teens Programming
13 programs with 447 attendees.
Story Time had 26 attendees and Mother Goose on the Loose had 43.
Ornaments and Pizza for all ages had 23 attendees.
Gingerbread Decorating Contest for all ages had 13 entrees.
Take and Make Crafts: 100 Candy Cookie House Craft Kits and 54 Christmas Snail Ornaments.
Lego Club had 7 attendees.
Story Line had 36 calls.
Circulation
Circulations were up by 5,400 compared to December 2021.
People count was up 7,000 for the year compared to 2021.
There was a slight drop in website usage in December over November.
Newsletters recipients will go up in January due to 3,000 emails that were added to the list.
Facebook engagement was up, probably due to voting for Tiny Art Show and Gingerbread House.
Staff and Volunteers
Staff Christmas party was December 10 at the Library and was well attended. Paradise Cove catered. Most of the expenses were paid with rewards points earned on the Library credit card.
The new PTO policy was implemented January 1. The transition was fairly smooth.
Hannah Hughes graduated from IU Southeast in December and has been promoted to full-time Outreach Coordinator. She is making plans to expand Outreach services.
Terpening was appointed as a representative of public libraries to the Indiana Library Federation Board.
Ongoing and Upcoming Events
Winter Reading is ongoing and for the first time will be available both online and in-person. Patrons can sign up using the Beanstack app.
Library will be closed for Martin Luther King Day on Monday, January 16.
Melt and Pour Soap program will be at Madison and Hanover. The program is already full.
Canvas Kids program will be January 21 and is also already full.
Building
Hanover Book Group will meet January 23 to choose the reading selections for 2023.
Jackson Systems has done the complete rewrite of the program, upgraded the JACE control panel, and replaced the control on AHU 4B, as described in the quote. Terpening is now able to see and change settings from a computer and a Jackson Systems technician is able to remote in and make necessary adjustments so the Library will not be charged for a visit.
Library was closed due to weather on December 23.
Collection
Terpening reported on the Sustainable Shelves program with Baker & Taylor. So far, over 7,000 withdrawn books have been sent for resale or recycling and the Library has received $726.00 in credits.
Friends of the Library
The Tree of Books display was built with 543 books. The contest winner guessed 534.
Next FOL meeting is scheduled for January 19.
Miscellaneous
Terpening made some changes to the Policy Review Schedule for Board meetings.
The Indiana Digital Library Consortium consists of more than 200 libraries across the state and was ranked #2 out of all public library consortia. JCPL joined the Consortium last year and is now able to offer a larger selection of digital materials with shorter wait times.
Brenda Evans, former JCPL Children's Librarian for nearly 30 years, passed away this month. A memorial service will be held on January 13 at Hanover Presbyterian Church.
New Service
McAlister told the Board about a new service to be provided by the Library soon. "Aunt Flow" is a company that sells period products and dispensers. Realizing a need for this type of service in the community, and noting that some other libraries are already offering it, McAlister recommended purchasing 4 dispensers and supplies to fill them. Products will be available to the community for free.
Correspondence
Board received a thank you card from Library staff for the holiday gift.
Continuing Business - No continuing business.
New Business
Terpening proposed changes to the Notary Public Policy, which were based on input from the Library's 3 notaries. Wurtz made a motion to approve the Notary Public Policy as amended. Joyce seconded. Motion carried.
Motion to adjourn by Phillips at 4:58 P.M. Butler seconded. Meeting adjourned.
