The meeting was opened at 4:00 P.M. by President Rosenberg. Wurtz made a motion to approve the agenda. Joyce seconded. Motion carried.
Phillips made a motion to approve the minutes from the December 2021 meeting. Butler seconded. Motion carried.
Financial Report
Culp gave the financial report:
Operating Fund expenditures December 10 through December 31, 2021 were $53,960.02. Expenditures from all funds were $63,315.74. Operating Fund receipts were $612,620.65, which included the tax draw of $606,803.89. Receipts to all funds were $633,737.48. Balance in the Operating Fund as of December 31, 2021 was $1,657,273.13. Total bank balance was $2,143,565.26. Operating Fund expenditures January 1 through January 13, 2022 were $63,252.26. Expenditures from all funds were $69,850.38. Operating Fund receipts were $487.90. Receipts to all funds were $21,882.57. Balance in the Operating Fund as of January 13, 2022 was $1,594,741.44. Total bank balance was $2,095,830.22.
There were 2 checks over $6,000:
$9,913.00 to Jefferson County Treasurer for health insurance premiums.
$7,240.90 to Indiana State Library Foundation for the annual Evergreen membership fee.
The following transfers were made within the Operating Fund:
$140.00 from 2.13 Other Office Supplies to 2.31 Building Materials & Supplies.
$130.00 from 2.13 Other Office Supplies to 2.42 Other Supplies.
$390.00 from 3.143 Programming Anniversary to 3.14 Other Professional Services.
$1,200.00 from 3.31 Advertising & Public Notices to 3.21 Telephone and Internet.
Director Terpening’s report
Adult Programming
10 events with 74 attendees.
There were 5 Online Painting & Drawing classes with 20 participants, and 4 Landscape Painting & Portrait Drawing classes with 12 attendees.
Red Cross Blood Drive had 42 attendees.
The Library hosted 2 meetings with 11 attendees.
Children’s Services and Teens Programming
11 programs with 569 attendees.
There were 2 Story times with 31 attendees and 1 Mother Goose on the Loose with 12 attendees.
Take-and-Makes in December were open to all ages. Staff made 200 Candy Cookie house kits and had a few extras for anyone to take.
There was a Gingerbread Decorating Contest this year for children and adults. 19 children and 10 adults participated by sending in photos of their creations. Judging was done by staff and there was also a people's choice award, receiving 191 online votes from the public.
Circulation
There have been increases in all categories since 2020.
Checkout of physical items was up 13% over 2020.
People count and new cards have increased.
Social media and website also increased. The most popular posts were the book tree created by Friends of the Library members, and the Gingerbread Decorating Contest.
Staff and Volunteers
Staff evaluations have been completed.
Water/Ways Exhibit and Grand Opening in January was covered by WDRB TV. Volunteers are still needed for Saturdays and evenings.
Terpening is working on the Annual Report and will share more about that in February.
Training
Water/Ways staff volunteers received training at the January staff meeting and all staff had an opportunity to view the exhibit.
Technology
New laptops have been set up.
New computer is set up for the Local History Assistant.
Both Business office computers and Terpening's were updated by AVC with 2022 accounting and payroll programs.
Miscellaneous
Board member, Sally Wurtz was featured in the January newsletter.
The Library closed at 5:00 P.M. on January 6 due to bad road conditions.
Friends of the Library
Next meeting will be January 18, 2022.
Correspondence
Terpening received a letter from the Community Foundation stating that The Library's Endowments will have $3,200.00 to award in 2022.
Board received a thank you card from Library staff for their holiday gift.
Continuing Business
After speaking with our legal counsel, Terpening made some changes to the Photography and Video Policy presented in December. Wurtz made a motion to approve the Policy as amended. Phillips seconded. Motion carried.
New Business
Phillips made a motion to approve the Purchasing Policy as amended. Crafton seconded. Motion carried.
Phillips made a motion to approve the Resolution to Pay Bills Without Prior Approval. Joyce seconded. Motion carried.
Butler made a motion to approve the Resolution for Check Signing Authority as amended. Joyce seconded. Motion carried.
Motion to adjourn by Phillips at 4:55 P.M.
