The meeting was opened 4:00 P.M. by President Butler and the agenda was approved on a motion by Rosenberg and a second by Phillips.
Minutes
Wurtz moved to accept the minutes from the regular December meeting as presented. Joyce seconded. Motion carried.
Financial Report
Culp gave the financial report:
Operating Fund expenditures December 13 through December 31, 2019 were $47,586.26. Expenditures from all funds were $57,848.54. Operating Fund receipts were $575,090.21. Tax draw was $571,920.79. Receipts to all funds were $581,172.79. Balance in the Operating Fund as of December 31 was $1,246,747.05. Total bank balance was $1,768,330.88.
There was 1 check over $6000:
$10,705.07 to Jefferson County Treasurer for health insurance premiums (Library paid $8,591.65).
The following transfers were made within the Operating Fund in December:
$230.00 from 2.12 Stationary & Printing to 2.13 Other Office Supplies.
$152.00 from 3.14 Other Professional Services to 3.141 Programming Adult.
$607.00 from 3.22 Postage to 3.21 Telephone and Internet.
Phillips moved to accept the financial report for December 13-31, 2019 as presented. Rosenberg seconded. Motion carried.
Operating Fund expenditures January 1 through January 9, 2020 were $45,481.36. Expenditures from all funds were $50,005.90. Operating Fund receipts were $468.00. Receipts to all funds were $7,079.64. Balance in the Operating Fund as of January 9 was $1,201,974.16. Total bank balance was $1,725,404.62.
Rosenberg moved to accept the financial report for January 1-9, 2020 as presented. Joyce seconded. Motion carried.
Director’s report
Terpening reported the following:
Adult Programming
14 events with 294 attendees.
59 attended the showing of a short film “Empty Skies".”
Winter Reading program had 82 participants reading 330 books.
Knitting classes have ended for now and some new programs are being planned.
Teen Programming
7 events with 4 attendees.
Girls Who Code program has 7 registered.
Youth Services
14 events with 171 attendees.
Make & Take Gifts had 17 attendees.
Reading to Dogs had 23 attendees.
Circulation
Each year for the past 3 years we have seen an increase in circulations, program attendance, and the number of people getting library cards.
Staff
Our Staff Holiday Party was held on December 14 here at the library after hours. It was catered by Hanover College Parkhurst Catering.
One of our Pages is leaving so we will be advertising for that position soon.
Training
Technical Services staff attended an in-house training on the acquisitions feature in Evergreen.
Building & Grounds
The gutters have been cleaned at Madison.
The hot water heater was repaired at the Hanover Branch.
Miscellaneous
Shifting has been completed in the basement so all genres by the same author are shelved together. Some re-labeling still needs to be done.
Correspondence
The Board received a thank you card from the library staff for the gift.
Continuing Business
None.
New Business
Dorothy Bersch, who recently passed away has named Jefferson County Public Library as a beneficiary in her will. The required documents have been completed and need a signature by the Board Secretary before the check will be issued. Rosenberg signed.
A motion was made by Joyce to approve the revised Purchasing Policy as presented with changes. Phillips seconded. Motion carried.
A motion was made by Phillips to approve the Resolution for Check Signing Authority as presented with no changes. Rosenberg seconded. Motion carried.
A motion was made by Joyce to approve the Resolution to Pay Bills Without Prior Approval as presented with no changes. Phillips seconded. Motion carried.
