February 8, 2024 Regular Meeting


Present: Terry Phillips, Vice-President; Kelly Joyce, Secretary; Joy Culp, Treasurer; Kathy Crafton, Board Member; Kathy Rosenberg, Board Member; Sally Wurtz, Board Member; Mary Kay Butler, Board Member; Judi Terpening, Director; Jess McAlister, Assistant Director.

Not Present: Robin Ryle

Vice-President Phillips opened the regular meeting at 4:00 P.M. Wurtz made a motion to approve the agenda. Rosenberg seconded. Motion carried.

Rosenberg made a motion to approve the minutes from the January 11, 2024 regular meeting. Butler seconded. Motion carried.

Culp submitted a correction to the January 11, 2024 minutes. Due to a corrected voucher in December 2023, the Operating Fund balance on December 31, 2023 was $1,651,699.27 and the ending bank balance on December 31, 2023 was $2,150,801.01.

Treasurer’s Report & Approval of Claims
January 12 through February 8, 2024

  • Operating Fund expenditures were $126,802.31. Expenditures from all funds were $143,737.21. Operating Fund receipts were $4,045.16. Receipts to all funds were $29,928.43. Balance in the Operating Fund as of February 8, 2024 was $1,447,928.08. Total bank balance was $1,958,015.40.

  • There were 2 checks over $6,000:

    • $11,072.43 to Jefferson County Treasurer for health insurance premiums.

    • $6,058.58 to Baker & Taylor Books. Total includes the annual subscription fee of $2,101.00.

Wurtz made a motion to approve the payment of claims in the amount of $143,737.21. Joyce seconded. Motion carried.

Director Terpening’s report
January Adult Programming

  • 18 events with 148 attendees.

  • Online Drawing & Painting Class had 12 attendees in 4 classes.

  • Acrylic Painting Class had 15 attendees in 3 classes.

  • Salsa Dancing had 35 attendees in 4 classes.

  • Book Nook Tins craft had 26 attendees in 2 classes.

  • Second Saturday Stitchers had 6 attendees.

  • Hanover Book Group held its annual selection meeting with 11 attendees.

  • Hope Community had 5 attendees for Valentine Wreath craft.

  • Hickory Creek had 4 attendees for Heart Thumbprint Magnets.

  • There were 24 Meetings with 104 attendees.

Outreach

  • 25 deliveries and circulated 128 items.

Children’s and Family Programs

  • 6 programs with 206 attendees.

  • Mother Goose on the Loose had 17 attendees at Madison.

  • All Ages Story Time had 8 attendees at Hanover.

  • Lego Club had 16 attendees.

  • Crafter's Delight, a family program, had 28 attendees.

  • Story Line had 47 calls.

  • Career Day visit to Shawe High School had 90 attendees.

Social Media/Circulation Statistics

  • Website had 2,986 visits, up 21% over December 2023.

  • There were 2,896 Facebook likes. Top posts were Winter Reading winners.

  • Circulations in January 2024 compared to January 2023 were down slightly, less than 1%.

  • 82 new library cards were issued in January, compared to 67 in 2023 and 48 in 2022.

  • Visitors to the library were 5,639, down a little but cold weather might have been a factor.

Staff and Volunteers

  • Board members received an invitation to a retirement party for Julie Hensley on February 19 from 1-3.

  • Motsinger and Westmoreland were invited to speak at Shawe High School for Career Day. They also attended the Southwest Ohio Northern Kentucky (SWON) Youth Conference.

  • Terpening attended the Director's Roundtable on February 2.

  • The Library will be closed on February 19 for Staff Development Day and Julie's Retirement party.

Ongoing and Upcoming Events

  • Winter Reading for all ages runs through February 29.

  • Water Colors, Reading to Dogs, 3-D Wall Art.

  • Comics and Graphic Storytelling Class; a 14-week course with Russ Vossler.

  • Black History Month Events:

    • Feb. 22 Book Discussion of "All That She Carried: A Black Family Keepsake" by Tiya Miles.

    • Feb. 24 Explore the Underground Railroad - a family event.

    • Feb. 29 "Know Your History: The Life of George DeBaptiste" presented by Sue Livers.

Community

  • The Story Walk is changing to a solar eclipse theme. The new book is titled "Eclipse." McAlister obtained permission to use the book and is in the process of getting it copied and making the signs.

  • Terpening and McAlister attended State House Day on January 23. They were able to meet with new Indiana Senator Maxwell.

  • The Community Foundation awarded the Library a $250.00 grant donated by the Cronen/Marsiglio Family Donor Advised Endowment Fund in memory of M.R. Cronen.

Technology and Services

  • After reviewing the four proposals with the AdTech consultant, AVC won the bid for the Cat 2 wireless upgrade project. Terpening will be asking for Board approval during New Business.

  • The ENA contract for internet services was renewed for another year, saving the Library over $50,000 a year.

  • Evergreen Indiana upgraded to 3-11-2.

Friends of the Library - Nothing to report.

Buildings

  • Stacks are being moved around in the basement to make it more ADA compliant.

Correspondence

  • Board received a notice from Grote that they are expanding their LED lights program, which will create 15 new jobs at $25.00 per hour. McAlister attended the public meeting.

Continuing Business - None

New Business

  • Terpening shared some highlights from the 2023 Library Annual Report. Board President Ryle is required to sign the document before it can be submitted.

  • Joyce made a motion to approve the Resolution to Transfer $100,000.00 from the Operating Fund to the Rainy Day Fund. Butler seconded. Motion carried.

  • Crafton made a motion to approve choosing AVC for the Cat 2 Project at a cost of $50,832.50, most of which will be funded by a grant from the FCC. Wurtz seconded. Motion carried.

Motion to adjourn by Wurtz at 4:20 P.M. Rosenberg seconded. Meeting adjourned.
