Present: Robyn Ryle, President; Terry Phillips, Vice-President; Kelly Joyce, Secretary; Joy Culp, Treasurer; Sally Wurtz, Board Member; Mary Kay Butler, Board Member; Kathy Crafton, Board Member; Judi Terpening, Director; Jess McAlister, Assistant Director.

Not Present: Kathy Rosenberg.

President Ryle opened the regular meeting at 4:07 P.M. Butler made a motion to approve the agenda. Crafton seconded. Motion carried.

Wurtz made a motion to approve the minutes from the November 9 regular meeting. Crafton seconded. Motion carried.

Treasurer’s Report & Approval of Claims
November 10 - December 14, 2023

  • Operating Fund expenditures were $146,997.66. Expenditures from all funds were $164,446.02. Operating Fund receipts were $10,994.91. Receipts to all funds were $27,106.95. Balance in the Operating Fund as of December 14, 2023 was $1,069,219.36 Total bank balance was $1,570,563.76.

  • There were 3 checks over $6,000:

    • $11,819.06 to Jefferson County Treasurer for health insurance premiums.

    • $14,297.46 to Sonitrol Security Systems for balance due on security camera installation.

    • $7,692.09 to Baker & Taylor Books for September and October book orders (replacement check)

  • The following transfers were made within the Operating Fund:

    • $500.00 from 2.23 Other Operating Supplies to 2.21 Cleaning & Sanitation Supplies.

    • $3,000.00 from 3.12 Engineering and Architectural to 3.148 Public Databases.

    • $6,000.00 from 3.52 Electricity to 3.61 Buildings & Structures.

    • $2,000.00 from 4.84 Computer Software Administration to 4.51 Adult Books.

    • $1,000.00 from 4.84 Computer Software Administration to 4.72 Children's Nonprint Materials.

  • Culp reported that several checks mailed on November 10 were lost in the mail and only one check cleared the bank, but had been altered to show another name as payee. Culp reported the incident to First Financial Bank and to the State Board of Accounts. A police report was also filed. Tighter security measures have been put into place at the bank to prevent the lost checks from being cashed and to prevent another such incident. First Financial Bank issued a credit to the Library's account for the amount of the altered check. Replacement checks have been issued to all vendors.

Phillips made a motion to approve the payment of claims for November 10 - December 14, 2023 in the amount of $164,446.02. Joyce seconded. Motion carried.

Director Terpening’s report

November Adult Programming

  • 17 events with 281 attendees.

  • Online Drawing & Painting Class had 7 attendees in 4 classes.

  • Acrylic Painting Class had 25 attendees in 4 classes.

  • Salsa Dancing had 50 attendees in 3 classes.

  • Hanover Book Group read Black Cake by Charmaine Wilkerson. 9 attended.

  • Second Saturday Stitchers had 5 attendees.

  • Caroling with Santa had 99 attendees.

  • Hidden in Plain Sight: Recognizing the Signs of Youth Vaping Program had 21 attendees.

  • Hope Community had 5 attendees for Wreath Decorating.

  • Hickory Creek had 4 attendees for DIY Christmas Ornaments.

  • There were 19 Meetings with 126 attendees.

Outreach

  • 22 deliveries and circulated 163 items.

Teens

  • Wreath Decorating had 20 attendees.

Children’s Programs

  • 11 programs with 226 attendees (includes Teens).

  • Mother Goose on the Loose had 65 attendees in 3 sessions.

  • All Ages Story Time at Hanover had 39 attendees in 3 session.

  • Rubik's Cube Club had 3 attendees.

  • Ruby Gillman: Teenage Kraken Movie had 5 attendees.

  • Spin Art had 5 attendees.

  • Caroling with Santa had 99 attendees (also reported in Adult Programming).

  • Story Line had 89 calls.

Circulation

  • Social Media engagement was down a little over 2022 but had a slight increase over 2021.

  • YouTube views were 1,382 for November, a large increase over October, which had 179.

  • Library has 34 new Facebook followers.

Staff and Volunteers

  • Clean up day was on November 17. A lot of decluttering and cleaning was accomplished.

  • Chris Rector is the new custodian for Madison and Bob Priest will be the custodian for the Hanover Branch. They will back each other up as needed.

  • Nine staff members attended the ILF Conference in Indianapolis in November.

  • Staff Christmas party was on December 2 in the Madison Auditorium.

  • Julie Hensley will be retiring after 27 years. Her last day will be December 22.

Ongoing and Upcoming Events

  • Gingerbread House Decorating Contest is ongoing. Winners will be announced December 18.

  • Affordable Connectivity Program (ACP) Enrollment Event will be December 18. During this event interested parties can receive help applying for assistance with their internet bill.

  • Salsa Dancing Basic class is complete and Intermediate classes have begun.

Community

  • Caroling with Santa, in partnership with the City of Madison, will be November 24.

  • The Library's Twinkle Town Christmas Tree in Hanover will be on display through December 31.

  • Several Library employees and friends carried a snowman balloon and the Library banner in the Christmas Parade. They also passed out candy with the Library logo on the package.

Technology and Services

  • The security camera installation is complete.

  • Terpening is working on the application for a Cat 2 grant to replace and update wireless access points in the buildings.

Budget

  • Terpening received the 1782 notice for budget year 2024.

Friends of the Library

  • FOL will hold a Holiday Book Sale on December 16 from 10 A.M. to 4 P.M.

Buildings

  • The elevator facelift is complete. A vinyl wrap was applied to the walls, trim was painted and new flooring installed.

  • Terpening shared more information about a placing a bench in front of the Library. A suggestion was made to contact Cub Manufacturing about making one. Terpening will contact them.

New Business

  • Crafton made a motion to approve a new Security Camera Policy. Joyce seconded. Motion carried.

  • The annual Board of Finance meeting was set for 3:45 P.M. on January 11, 2024 before the regular meeting.
