The meeting was opened at 4:05 P.M. by President Wurtz and the agenda was approved on a motion by Rosenberg and a second by Butler.
Minutes
Rosenberg made a motion to approve the minutes from the regular July meeting as presented. Seconded by Crafton. Motion carried. Butler made a motion to approve the minutes from the July Executive Session as presented. Seconded by Crafton. Motion carried.
Financial Report
Culp gave the financial report:
Operating Fund expenditures July 10 through August 13, 2020 were $90,682.68. Expenditures from all funds were $103,160.89. Operating Fund receipts were $1,749.19. Receipts to all funds were $13,665.23.. Balance in the Operating Fund as of August 13 was $1,169,358.30. Total bank balance was $1,716,902.91.
There were 2 checks over $6,000:
$9,132.71 to Jefferson County Treasurer for health insurance premiums (Library share was $7,161.15).
$6,100.19 to Popular Subscription Services for 2021 magazine and newspaper renewals.
Petty Cash reimbursement check for $72.23 required 2 signatures. Culp and Crafton signed.
The following appropriation transfer was made within the Operating Fund:
$500 from 3.61 Buildings and Structures to 3.54 Waste Disposal Services.
Phillips moved to accept the financial report as presented. Butler seconded. Motion carried.
Director Terpening’s report
Adult Programming
The Online Drawing and Painting Class has 48 students registered and there were 4 classes in July. The focus was cartooning.
Hanover Book Group, led by Terpening, had 6 participants and was the group’s first face-to-face meeting since March. It was held after hours at the Hanover Branch. Participants wore masks and socially distanced.
Summer Reading program concluded on July 25 and had 68 participants with 427 books read.
Teen Programming
3 book reviews were submitted by teen volunteers and will be posted in Wowbrary and on social media.
21 teens participated in Summer Reading with 380 hours of reading over the 6-week period.
Youth Services
Summer Reading had 91 participants and 59 finishers.
8 programs were virtual story times and entertainment with 49 attendees.
8 programs were “Grand & Go Crafts” with 188 attendees.
6 programs were outreach; packets and craft kits to Boys and Girls Club and Girls, Inc.
Circulation
Circulations continued to increase in July as more people visited the library.
Staff
Part time Library Assistant, Karen Bessenecker resigned.
Jillian Hendricks graduated summa cum laude with a Bachelor of Science degree in graphic information technology.
Technology
We now have Public Library Connect available to Southwestern students, which gives them access to Overdrive using their student ID.
If we can get 100 subscribers to the library’s YouTube channel we get a custom channel name, which will make it easier to find for future programs.
Evergreen now has a mobile app available.
Building
We have had two separate leaks related to the HVAC drainage system this month. DeBra-Kuempel will give us a quote on re-routing the drain pipes to prevent further leaks.
We have received 2 estimates for exterior building work at Madison and Hanover.
Grants
We received a digitization grant from the National Endowment for Humanities. Camille Fife wrote the grant and she is also working on the application for an LSTA grant.
County Council
The County Council signed the Declaration of Fiscal Body document at their last meeting. It has been sent to the State Library.
Covid-19
Terpening shared the latest updates of the REALM Study from the Institute of Museum and Library Services regarding how the coronavirus lives on surfaces of library materials. We are currently quarantining returned library materials 24 hours.
Friends of the Library
The Friends held a sidewalk book sale on August 8, 2020 from 9am-12pm, featuring Children’s and Teen books.
Correspondence
None.
Continuing Business
Terpening attended the virtual DLGF workshop on July 30 to complete the budget forms. She reported that the 2021 budget will be fully funded. The Notice to Taxpayers will be available to the Public through Gateway no later than August 31.
New Business
Board President Wurtz signed the annual Resolution to Join the ISL Consortium for E-Rate Services. Terpening will send the form to the State Library.
The public hearing for the 2021 budget is set for September 10 at 4:00 pm.
The Policy Review Committee will review the new Website Privacy Policy and Terms of Use and will report back at the September meeting.
Wurtz announced the resignation of Barbara McKinney from the Board of Trustees, effecting May 14, 2020 due to health issues. She had been re-appointed for a second four-year term by the Southwestern Jefferson County Consolidated School Corporation on July 1, 2018 but has been prevented from participation since October 11, 2018. Robyn Ryle has been appointed to serve the remainder of McKinney’s term.
